How to Create a Catering Order Form
A catering order form turns approved event details into one organized record. It should help the client confirm the order and help the kitchen prepare without searching through calls, texts, and emails.
Record client and event details
Include the client’s name, contact information, billing information, event date, venue, access time, service time, guest count, and on-site contact. Confirm who has authority to approve changes.
Document the complete menu
List each dish, quantity, portion assumption, beverage, dessert, sauce, garnish, and approved substitution. Record reported allergies or dietary requests along with what the business has agreed to provide.
Define service and delivery
State pickup or delivery, address, arrival window, setup, servingware, staff, rentals, breakdown, travel charges, and venue requirements. Identify responsibilities that remain with the client.
Connect the order to payment and approval
Show pricing, paid amounts, balance, due dates, change deadlines, and the method used to approve the final order. Use secure systems appropriate for handling customer and payment information.
Put the system into practice
Strong catering systems should match the actual menu, staffing, equipment, service level, and client experience. Chef Bae’s current Essentials, Southern Favorite, and Signature Experience packages provide real examples of how an offer can communicate inclusions, upgrades, deadlines, and booking expectations.

Frequently asked questions
Is an order form the same as an inquiry form?
No. An inquiry form collects information for evaluation. An order form documents the details that have been selected or approved.
Should the kitchen receive a copy?
Yes. The production team needs a clear, current version of the menu, quantities, timing, packaging, and special instructions. Control versions so outdated forms are not used.
